Executive Assistant / Office Manager

Hidden Level is looking for an energetic professional who is able and willing to wear multiple hats to support the needs of our Syracuse office headquarters and Hidden Level team members. The position will report directly to the CFO.

As an Executive Assistant, you can expect to…

Support Executive Team Staff:
  • Responsible for enhancing executive team effectiveness by providing information and time management support
    • Schedule, coordinate, attend meetings/conference calls, prepare agendas, document action items and follow up
    • Coordinate emails and written communications
    • Assist with travel arrangements and expense reports
  • Manages calendars, balancing time allocations appropriately
    • Helps keep daily schedule on track
    • Communicates changes to affected parties
  • Manage Customer Visits
    • Facilitate visit requests and accommodations
  • Support a variety of tasks while exercising judgment and complete confidentiality:
    • Which includes answering/screening calls and emails
    • Determining who should be directed to other team members
    • Creating, typing and proofreading routine and complex memos, agreements, documents, letters, reports, presentations and spreadsheets from dictation, rough copies, or typed drafts.
Support Office Administration:
  • Maintain office calendar
  • Support travel arrangements for entire organization
  • Manage and order office supplies
  • Coordinate office events, meetings, and celebrations
    • Order supplies, handle scheduling
  • Perform routine clerical duties, such as sorting, filing, distributing mail, making copies, and managing mail
  • Coordinates vendor appointments, maintenance, and environmental upkeep for offices

  • Contribute to a positive, teamwork based work environment with both internal and external interactions
  • Help to create and make more efficient company processes and tools
  • Actively participate and drive office policy and enhancement changes
  • Create and continuously improve highly effective office systems, processes and procedures by analyzing current and anticipated office needs

  • Ability to establish and maintain effective working relationships

  • Minimum of 2 years’ experience in administrative role supporting an executive team, including experience with office administrative procedures, use and operation of standard office equipment
  • Strong skills in Word, Excel, PowerPoint and video meeting technologies with good calendar management skills.
